Originally, companies used the Waterfall method, which worked well for projects with fixed requirements. However, as needs evolved, the rigid nature of Waterfall became a limitation. This led to the adoption of Agile, focusing on flexibility, iterative development and continuous feedback. We believe that Agile (with Scrum and Kanban) is currently the best solution to use for software development and similar collaborative projects, particularly for project personnel in Transformation & Change teams…
The Overlooked Employees
…however, many other personnel predominantly work alone to deliver their projects. They don’t need to work in a Scrum team, as they produce the outputs themselves. Their projects are shorter in duration and they often need to progress multiple projects simultaneously. These personnel are expected to pivot in response to changing requirements on a daily basis. They do not have management’s support to batch their work into an uninterrupted two-week Sprint. Notably, they make up a large portion of an organisation’s workforce.
Capability Shortfall
The biggest challenge for these personnel is their ability to prioritise effectively and consistently or forecast realistic delivery timescales against deadlines, to help make good decisions and stay on track. Without this ability, they can struggle to manage stakeholder expectations, miss deadlines or impact their health by frequently working late into the night. This often damages their credibility and the organisation’s performance. Over time, as the pressure builds and without a viable solution, burnout becomes inevitable.

Who Are These “Other” Personnel?
In any large organisation, you typically find three types of roles:
- Process roles – such as Call Centre Agents, whose work predominantly involves carrying out routine Activities throughout the day.
X - Project roles – such as Project Managers or Software Engineers, who might use structured methodologies like Waterfall or Agile to manage their unique Tasks.
X - Blended roles – such as Performance Reporting Analysts, whose work is a blend of both Process (routine Activities) and Project (unique Tasks).
Examples of other Blended roles: Management Accountants, Internal Communications Specialists, Marketing Managers, HR Business Partners, Learning & Development Coordinators, People Managers …and many more.
One might assume Blended personnel can simply use Waterfall or Agile methodologies and existing planning tool software (Gantt Charts or Kanban Boards) to manage their projects, but on closer inspection you’ll realise that they’re not effective solutions for their type of project work.
